EHC123 was born out of a desire to empower SEN teams across the country to be able to better spend their time, energy and resources doing the things that make a difference - engaging with families, supporting schools and SENCOs, and ultimately enabling young people to achieve the very best outcomes. We know that sometimes the functional task of preparing hundreds of EHC plans can detract from having a real impact in your area. That's where we can help to share some of the load.

HOW DOES EHC123 WORK?

You provide us with a template and the relevant advice you've gathered, and we use our expertise and skills to turn it into a high quality, legally compliant draft EHCP. The rest is entirely up to you: we can either return the draft EHC plan directly to you to send out; we can case manage the plan (including correspondence) until it's finalised; or anything in between. Get in touch to discuss the options that work best for you and your families.


Once you've decided how you'd like us to help you, you have complete control over we work. You can either allocate us a few at a time, or a bulk all at once, whatever works for you. We'll continue to go through our allocation until they run out, or we hear differently!

HOW DO I KNOW THE EHC PLANS WILL BE GOOD QUALITY?

We have a three-tier quality commitment:

  1. Quality staff: our EHCP writers are all individually selected based upon first-hand experience of their SEND fieldwork. Their EHC plans will demonstrate outstanding attention to detail, and will be wholly compliant with the Children and Families Act and SEND Code of Practice. Staff are supervised and trained on a regular basis to ensure consistency across the team.
  2. Moderation: Before being returned to you, every single EHC plan will be thoroughly checked for any writing, grammar, spelling and formatting issues. Further in-depth moderations will be made at random several times per week, mapping the EHCP contents against the advices and the SEND Code of Practice.
  3. Regular check-ins: From the offset we will book in phonecalls at regular intervals with the key liaison officer to troubleshoot any issues, suggest any developments to working practice and agree priorities. We find that after the first few EHC plans it's useful to go through them together and talk through the specific nuances of your own LA's EHC plans, so that they are exactly how you want them to be.


...And as if that isn't enough, for every new team joining the EHC123 family, we'll throw in the first 3 new assessment EHC plans for just £200 with no-obligation, so you can 'try before you buy'.


HOW MUCH DOES IT COST?

We have put together a pricing strategy that offers genuine value for money. We may not be the cheapest EHCP writers in the market, but our quality and consistency is unrivalled. We know that staff time, energy and retention can be difficult to maintain and manage efficiently, and can easily result in high levels of cost with variable returns. By investing into a contract with EHC123, you can be assured that every penny of the money spent has an accountable, traceable and tangible impact without needing to worry about any of the on-costs or logistics.

HOW LONG DOES IT TAKE?

We are generally happy to work within whatever suits your individual needs. As standard we work to a turnaround of maximum 5 working days per EHC plan. This is to ensure that sufficient time is dedicated to quality control and moderation, as well as the writing itself.


For when those little emergencies arise we are able to offer a 'next day' service for the small additional cost of £20. The completed EHC plan will be returned by 10am the following morning (orders must be placed by 3pm).


WHAT WILL OUR PARENTS/FAMILIES THINK?

We recognise that LAs are absolutely stretched beyond their existing capabilities, and we are genuinely in this business to help LAs better fulfil their statutory functions and provide better care and services for the families and young people they serve.


However, we know that in the past EHCP writers have not always had a positive press. We are committed to changing such perception, by consistently providing outstanding quality and efficiency. We also try and include a parent/carer representative in any changes to our policies or practise to ensure that our decisions are accountable and robust.


We would always advise LAs to be open about the fact they are working in partnership with EHC123, because we are proud of the services we offer. However, of course, this is entirely at your discretion.

WHAT ABOUT GDPR?

We are serious about our responsibilities in handling your clients' sensitive information, and make the following commitments:


1. All our staff have been trained in GDPR principles, and specifically the ramifications and considerations around SEN casework. We continue to keep abreast of national developments and will continue to adjust our practice as required. We'd be happy to discuss any specific requirements you may have.


2. EHC123 uses encrypted and protected equipment and software which is stored securely to keep and process all sensitive data. We know that most Local Authorities use secure file transfer systems such as "egress" or "Mail Express" and are happy to use these to both accept and send data. EHC123 has a range of services on offer to support Local Authorities to respond to appeals made by families to the First-Tier SEND Tribunal.


We do not provide legal or paralegal services, but we do know the law inside out, and our staff are highly skilled and experienced in representing LAs at Tribunal. Our lead Tribunal Officer has extensive experience gained over hundreds of appeals, ranging from Refusal to Assess all the way through to complex education, health and care provision and placement.

Our philosophy.

Tribunals can be a difficult and uncertain time for all involved, and heightened frustrations can often impact on the lasting relationships between families and LA caseworkers.

​EHC123 can undertake some of the Tribunal work on your behalf, helping to preserve relationships between families and your team to get the best chances of success for the child's future.


Our philosophy regarding Tribunals includes the following key principles:


Resolution

Handshake

We believe in restorative practice; that is, working collaboratively with each other, rather than making decisions to or for people. This doesn't mean that everyone agrees all of the time, but it means that actions are taken with the highest levels of engagement so that everyone knows the reasons for decisions being made.

As with any dispute, both parties should be prepared to consider what compromises or allowances they are prepared to make in order to resolve the conflict. With that in mind, we work hard to achieve resolution by mutual agreement ("consent order" in Tribunal terms) rather than proceeding all the way to a court hearing.

Pragmatism

We take a pragmatic approach to Tribunals: that the two parties cannot agree on the best way to provide support for the child/young person, and are therefore seeking judiciary support to determine the next steps.


We find this helps parties to work in a much fairer and collaborative way for the good of the child/young person, rather than point scoring or employing 'tactics'.


It is not helpful, therefore, to consider any outcome as a win or a loss to either party, simply a determined set of further actions.

Coaching session

Individual casework

Case appraisal: £249

Once the appeal paperwork comes in, EHC123 will undertake a thorough analysis of the case (including consulting with the parents/carers and family, and the child/young person's school, college or other setting) and provide you with a robust, pragmatic and honest appraisal of the appeal. This will include a short case appraisal report making reference to relevant aspects of the law and our professional advice on how best to proceed.


Case management: £1,250

Includes all of the above. Following the 'case appraisal report' EHC123 will continue to engage and liaise with all stakeholders, and manage the casework through to resolution or pre-hearing. This will include the submission of responses and evidence, and acting as a first port of call for the appellants and Tribunal service. Case management does not include preparation or submission of the bundle (available for an additional £199).


Case coaching: £1790

Includes all of the above, as well as preparation of the bundle, EHC123 will

provide bespoke and intensive coaching to your nominated representative in preparation for the hearing. EHC123 will also arrange and chair a pre-meeting with the key witnesses.


Please note that for any highly extraordinary cases, or any Tribunal appeals including elements of health or social care under the new extended routes of redress pilot, further costs may apply, to a maximum of an additional 20%.

It is a commonly used adage that "parents don't win tribunals; LAs lose them". Whilst we don't hold with the win/lose idea, it is true that LAs are often under-prepared, under-resourced and under-equipped to be able to respond proactively to the increase in number of appeals.


EHC123 is able to come and spend two days reviewing your Tribunal processes and helping to re-think your ethos, practice and response to appeals, including supplying you with bespoke tools and paperwork to ensure every Tribunal is dealt with efficiently, consistently and with the utmost professionalism. The price includes one 90 minute training session.


Any SEN teams who have already undergone the internal audit and review are also eligible for 10% off any other future tribunal services listed above.
